01 — Who we are

Data controller.

This privacy notice applies to Himalayan Global School ("HGS", "we", "our") — a co-educational K-12 school located in Byapur, Patna, Bihar, India. For any privacy question, write to info@himalayanglobalschool.in.

02 — What we collect

Through this website.

We only collect information you choose to give us through our forms:

• Contact form — your name, email, phone (optional) and the message you write.
• Admission enquiry form — parent's name, relation to student, mobile, email, student's name, date of birth, class applied for, previous school (optional) and any notes you add.
• Newsletter form — your email address.

We do not use cookies for tracking. We do not run analytics that identify individual visitors. The only third-party resources our pages load are Google Fonts (for typography) and a Google Maps embed on the contact page.

03 — Why we collect it

Purpose & legal basis.

• To respond to enquiries you send us.
• To process admission applications you initiate.
• To send the newsletter you subscribed to.

The legal basis under India's Digital Personal Data Protection Act, 2023 is your consent, which you give by submitting the form. You may withdraw consent at any time by writing to us.

04 — Children's data

Information about minors.

The admission enquiry form collects information about a prospective student who is typically a minor. Only a parent or legal guardian should submit this form. We process this information solely for the purpose of evaluating the admission enquiry and contacting the parent/guardian. We do not share student data with third parties for marketing, advertising, profiling or behavioural targeting of any kind.

05 — Where it goes

Third-party processors.

To deliver form submissions to our team's inbox, we use the form-relay service Formsubmit (operated by formsubmit.co, USA). When you submit a form, the data you entered is transmitted to Formsubmit, which forwards it to our school email address and then deletes it from their queue. This involves a transfer of personal data to the United States. Formsubmit's own privacy policy is published at formsubmit.co/legal/privacy-policy.

Email storage is provided by Hostinger. The contact-page map is embedded from Google Maps; visiting the contact page causes your browser to request resources from Google. Fonts on every page are loaded from Google Fonts. We do not pass any data you enter to these providers; they only see the standard request information any browser sends when loading a resource (IP address, user-agent, referrer).

06 — How long we keep it

Retention.

• Contact-form messages: kept in our inbox for up to 24 months, then deleted unless you have become a student or formal applicant.
• Admission enquiries that do not progress to application: deleted after 24 months.
• Admission enquiries that lead to enrolment: retained as part of the student record under our normal records-retention policy.
• Newsletter subscribers: retained until you unsubscribe.

07 — Your rights

What you can ask for.

Under the DPDP Act 2023 you have the right to:

• Ask what personal data we hold about you (or your child).
• Ask us to correct it.
• Ask us to delete it (where we have no overriding legal obligation to keep it).
• Withdraw consent at any time.
• Nominate someone to exercise these rights on your behalf in case of incapacity or death.
• File a grievance with us, or with the Data Protection Board of India if you remain dissatisfied.

To exercise any of these rights, write to info@himalayanglobalschool.in with the subject line "Privacy request". We will respond within 30 days.

08 — Security

How we protect it.

The website is served over HTTPS. Form submissions are sent over HTTPS to Formsubmit and arrive in a school email account that is itself accessed over encrypted connections. We restrict access to that inbox to authorised members of the admissions and administration teams.

No system is perfect. If a data breach affects your information, we will notify you and the Data Protection Board as required.

09 — Changes

Updates to this notice.

If we make material changes to this notice, we will update the "last updated" date at the top of the page and, for changes that affect how we use existing data, contact you directly where we hold your contact details.
